PDF Signature: Electronic, Digital or Visual?

“Please sign the PDF” can mean very different things. Sometimes the recipient just needs your handwritten signature on the page. Sometimes they need a certified digital signature that proves who signed. Knowing the difference saves you time – and helps you pick the right tool.

Electronic signature in a PDF

“Electronic signature” is the broad term for signing a document without pen and paper. It covers a typed name, an image of your handwritten signature placed on the page, or clicking “sign” on an e-signature platform that records who signed and when.

Digital signature in a PDF

A digital signature is a special, certificate-based kind of electronic signature. It is stored cryptographically inside the PDF, shows up in the signature panel of PDF readers and reveals if the file was changed after signing. You need a signing certificate from a trust service provider to create one. Sehnna does not create digital signatures.

Visual signature: a free online signature for your PDF

A visual signature is an image of your signature placed on the page – the online equivalent of signing a printout. This is what Sehnna's Sign PDF tool adds. It is free, takes less than a minute and your PDF never leaves your device.

Which PDF signature do you need?

If you are unsure, ask the recipient which kind of signature they accept.

  • Forms and applications you return yourself: a visual signature is usually enough.
  • Delivery notes, timesheets and internal approvals: a visual signature is usually enough.
  • Contracts with several signers or an audit trail: use an e-signature platform.
  • Documents that legally require a certified or qualified signature: use a trust service provider.
